Turn a PayPal activity download into a monthly summary and a journal.
Tested only on made-up files built from PayPal's documented column names, never on a real PayPal export. The Balance check only compares rows with each other in the same file. It does not check your PayPal account or your bank. Compare the totals with your PayPal statement before you rely on them.
Set these to match your files before you drop them. Nothing is guessed. Limits: 20 files, 40 MB each, 200 MB in total, 60,000 rows per file and 300,000 in total.
What it does
Each month and currency gets money in, money out, fees (Net minus Gross) and the net movement. Rows whose Balance Impact is Memo are counted but left out of the totals.
PayPal's Type names are shown exactly as written. We do not guess what they mean.
For each row with a Balance, we check it equals the previous balance plus Net, as PayPal documents. Breaks are shown and block the journal until you review them.
Questions
Which report do I use?
The Activity Download report in CSV format (PayPal documentation: docs.paypal.ai/growth/reports/fields-formats). The tool needs the columns Date, Type, Status, Currency, Gross, Fee, Net, Balance Impact and Balance. Balance Impact and Balance are required too, because memo rows and the balance check depend on them. A file without any of these is rejected with a message.
How are rows counted?
Rows with Balance Impact Credit or Debit are counted. Rows marked Memo are left out of the totals and shown as a count. Money in is a row with a Net of zero or more, money out is a negative Net. Fees are Net minus Gross, so the tool works whether PayPal writes the fee as a positive or negative number, as long as its size equals the gap between Gross and Net.
Is the journal entry accounting advice?
No. It is a starting point built from the month's totals and the accounts you type. Your accountant decides how PayPal items are booked. The tool makes no tax or accounting claims.
Has it been tested on real PayPal files?
No. It was tested only on made-up files. The date format and number format are whatever your PayPal account uses, so you choose them. Nothing is guessed.
Is anything uploaded?
No. The files are read on your device.
